MRI Software’s 2025 Voice of the Facilities Manager report reveals that facilities management professionals are ready to take the next step in digital transformation, with more than two-thirds (68 per cent) expecting to invest in new technology within the next 12-18 months, and 42 per cent of respondents reporting increased budgets to support these initiatives. However, cost remains a significant challenge, with nearly half (46 per cent) citing high expenses as a barrier to adoption.
The annual report, based on insights from over 1,000 FM professionals across the EMEA region, highlights the evolving priorities and challenges in the sector. Key findings reveal the growing demand for AI-driven solutions, the need for clear technology ROI, and the role of digital tools in tackling compliance and workload pressures.
Technology and AI investment remains a strategic priority with efficiency and productivity driving FM teams toward new technology. Nearly three-quarters (73 per cent) of respondents cited streamlined processes, reduced manual workloads, and optimised resource allocation as key motivators. Mid-sized teams (10-50 members) report the highest levels of frustration with current technology, making them prime candidates for innovation-driven solutions.
AI is emerging as a decisive factor in technology investment decisions with almost half (45 per cent) of FM professionals stating they would switch to AI-integrated technology. This reflects the growing importance of automation and data-driven decision-making in facility management. AI’s most valued benefits include improved efficiency (40 per cent), enhanced decision-making (24 per cent), and streamlined data analysis (16 per cent).
While there is strong momentum toward digital adoption, financial constraints remain a challenge. The report highlights that upfront costs, ongoing maintenance expenses, and the risk of the new technology being underused may deter many businesses from investing. Addressing these concerns, the report highlights the importance of demonstrating clear ROI, ensuring that FM teams can justify expenditures and maximise the value of their investments. Adequate training will play a key role in changing this perception.
Beyond operational efficiencies, compliance (13 per cent) and workload (13 per cent) emerge as top concerns for FM professionals in both the UK and Europe. These challenges present a significant opportunity for AI-powered solutions to enhance adherence to regulatory compliance automate reporting and reduce the administrative burden.
